Development Group Administrative Assistant
- Provides administrative support for assigned staff including arranging meetings, appointments, resolving conflicting demands, teleconferences, complex domestic and international business travel, travel expense reports, preparing routine correspondence, creating, maintaining and retrieving department databases/files; preparation of presentation materials and responding to routine enquiries.
- Routinely handles information of a highly critical or confidential nature.
- Consistently interacts with high level internal and external contacts requiring considerable discretion and initiative.
- Assists assigned staff with the development, distribution, tracking and filing of corporate and department related materials, such clinical study documents, corporate and business development materials and intellectual property-related materials.
- Prioritizes, responds to, or forwards to the appropriate staff member, questions and issues from vendors, business development contacts, investigative sites, outsource providers, development partners and external collaborators.
- May research background material and collect data for correspondence.
- Ensures relevant files are kept up-to-date, well organized and accurate to ensure adherence to regulatory guidelines, corporate records retention, as well as reporting requirements for publicly traded companies.
- May coordinate special projects working with senior level management.
- Collaborates and interacts with others in a mutually supportive and cooperative manner that reinforces the concept that staff at all levels are expected to seek ways in which they can support and assist others to achieve expected results, as well as to be effective in their own accountability areas.
This position reports to the Director, Clinical Operations and supports up to 7 Allon development group staff members located in both the Vancouver and regional offices.

Education & Experience:
- University degree or professional diploma or an equivalent combination of education and experience.
- Minimum five to seven years administrative support experience at an advanced level.
